Summary
This article explains how to retire a loyalty card.
More Information
Loyalty Card Maintenance allows you to retire a card e.g. when a card is lost, damaged or issued in error. A retired card cannot be used to redeem or collect points.
Go to " Reports & Settings Maintenance Options System Administrator Module Settings Customer Loyalty Loyalty Card Maintenance".
- Enter the number of the card you are retiring (with or without the leading characters).
- Alternatively enter the Customer's Account Code or part of the customer's name.
- Click [Search].
- Select the card to retire and click [Edit].
- Click on the "Status" field.
- Press <Ctrl+F1> and click [List].
- Select a suitable Status, e.g. 'Retired', 'Stolen' or 'Damaged' or click [Add] to create a new status.
- Enter a 3 character code, e.g. 'DUP'.
- Enter a Description, e.g. 'Duplicated'.
- If you wish to select a colour for the text/background, click the small box and select a colour from the drop down menu.
- Click [Settings].
- Choose 'Yes' to indicate this is a status for retired cards.
- Click [Done].
- Click [Accept]. You will be prompted to enter a brief note for audit purposes e.g. 'Reported stolen'.
- Click [OK].
Clear Available Balance
A retired card cannot be used to collect or redeem points so you do not have to amend the balance. However if you prefer to clear the available balance:
- Click [Balance].
- The Available Balance will show as 0. Click [Accept] to save the amended balance.
If the card has a Pending Points balance you will need to repeat these steps when they become Available. |
