How do I Set Maximum and Reorder levels on Stock?

Maximum and Reorder Levels can be set manually item by item or you can allow the system to calculate levels for you based on Stock Optimisation Parameters or Formulae.
Manually Set Levels
You may set levels on an individual item or view a list of items and manually alter several at a time.
Individual Items
To set levels for an individual item, please see these articles:
Selection of Items
Go to " Stock Control Reordering".
- Set either or both "Calculate maximum level" and "Calculate reorder level" to 'No' depending on which items you want to calculate.
- Set "Ordering method" to 'No'.
- Ignore "Current orders" as this parameter is not relevant.
- Set "Show details" to 'All'.
Enter the range of items for which you want to view and alter levels. Leave blank any items by which you do not want to limit the report.
- "Supplier" - Only show items that can be ordered from this supplier.
- "Preferred only" - Choose 'Yes' to include only items for which this is the preferred supplier. Choose 'No' to show all items with this supplier as a possible supplier.
- "Depot" - This will default to the depot assigned to your user.
Alter this if you are setting levels on behalf of a different Depot.
- To find a depot code, press <Ctrl+F1> and click [List].
- Highlight the depot code and click [Choose].
- "Stock From/To" - Enter a range of stock codes to include in the report.
- Press <F1> or <Shift+F1> to scroll through your stock file to find an item or press <Ctrl+F1> to search for an item by entering part of the description.
- "Group" - Only show items within this Stock Group.
- "Text Filter" - Only show items whose Stock Description contains the text you enter here.
Click [Start].
The current Maximum and Reorder Levels of the items will be displayed in the "New maximum" and "New reorder" columns.
- Click into a column and enter the new level for each item.
- Use the [Statistics] button on the right of the screen if you wish to check sales and purchase history of an item.
- The last 12 complete months' sales for each item are displayed at the top of the screen along with current month and projected sales.
- Press the <Down Arrow> arrow key or <Enter> to move down a row or across the columns.
- You may leave a value unchanged to retain the level shown.
- If you wish to print a report of the items you have changed, click [Print] and click [Levels].
- When you are ready to save the changes, click [Process].
- If a large number of items will be altered, you will be asked if you wish to continue.
- Click [Yes] to save your changes.
Calculate Levels
The system can calculate your Maximum and Reorder levels for you using either the settings in the Stock Optimisation Parameters or using a formula you specify.
Go to " Stock Control Reordering".
- Set either or both "Calculate maximum level" and "Calculate reorder level" to 'Yes', depending on which items you want to calculate.
- Leave the formula fields blank for the system to work out the levels for you using the Stock Optimisation Parameters.
- If you wish to use a formula to calculate your levels, click here for details on creating your own formula.
- Enter the formula code or press <Ctrl+F1>.
- Select the formula to use and click [Choose].
- Set "Ordering method" to 'No'.
- Ignore "Current orders" as this parameter is not relevant.
- Set "Show details" to 'All'.
Note: Set the ranges from here on in the same way as for the Manual setting. |
Click [Start].
The current Maximum and Reorder Levels of the items will be displayed in the "Prev maximum" and "Prev reorder" columns. The new calculated values are displayed in the "New maximum" and "New reorder" columns.
- Check the values.
- If you want to alter any values, click into the relevant field.
- To prevent an item from being altered, click the [No Change] button on the right of the screen. The field will revert to the original value. Alternatively, click [Untag] or press <F4>.
- All the options that you have available with the Manual setting above are available here as well.
- If you wish to print a report of the items you have changed, click [Print] and click [Levels].
- When you are ready to save the changes, click [Process].
- If a large number of items will be altered, you will be asked if you wish to continue.
- Click [Yes] to save your changes.
