How do I Create a Range of Stock?

Summary
This article explains how to create a range of Stock Codes based on a single Stock Code. This can be used to create multiple stock records for similar items e.g. ranges of clothing, a variety of tyre sizes, helmet sizes etc

Go to " Stock Control Add or Edit Stock Items".
- Search for the item on which to base your range.
- Select the item and click [Edit].
- Move up to the "Stock" field at the top of the screen.
- Press <Alt+F9> to load the [Stock Range Creation] box.
Stock Range Creation
In this screen you will list all the variants to use when creating a range of new stock codes.
- "Code Replacement"
- Enter the characters to insert into the Stock Code e.g. a 2 character code to indicate size or a single character to indicate colour.
- "Code Position"
- Enter the position at which the character is to be inserted into the new code e.g. 3.
- "Description Replacement"
- Enter the text to insert into the description of the new code e.g. Small, Large, Red etc.
The following two fields will define where the text should be inserted. |
- "Description After"

- Click [Choose].
- Within the base stock "description" click the word which will mark the word which precedes your text i.e. your text will be inserted after this word.
- Press <Enter>.
- Alternatively type the word to select.
- Click [Choose].
To insert your text at the start of the Description, and replace all text up to the word specified in "Description Before", you may leave "Description After" blank. |
- "Description Before"

- Click [Choose].
- Within the base stock "description" click the word which will mark the word to follow your text i.e. your text will be inserted before this word.
- Press <Enter>.
- Alternatively type the word to select.
- Click [Choose].
To insert your text within or at the end of the Description, and replace all text after the the word specified in "Description After", you may leave "Description Before" blank. |
To replace the entire description with your "Description Replacement" leave both fields blank.
- Repeat the steps above to list the variants for the range you are creating e.g. the first line may contain the parameters to create a code for Small Gloves, the second line for Medium Gloves etc.
- Click [Review].
Stock Range Review
All possible stock codes and descriptions will be listed.
- You may amend any line by clicking into the "Stock Code" or "Description" fields.
- Click [Delete Line] to remove unwanted codes.
- When you are ready to proceed click [Create].
- Click [Yes] to proceed.
Your new stock codes will be added to your stock file. Supplier details, Reorder levels, Location, Stock Group etc will be copied from the original base stock code.
Example
This example shows how you could create new codes for a range of gloves based on a single code: '11458701 - Leather Gloves Small'.
- "Code Replacement"
- '02'
- "Code Position"
- '7'
- "Description Replacement"
- 'Medium'.
- "Description After"
- 'Gloves'.
- "Description Before"
- Leave blank.
- Repeat these steps but use 03 as the code and Large as the description.
- Click [Review].
This example will create two new Stock Codes: '11458702 - Leather Gloves Medium' and '11458703 - Leather Gloves Large'.
