How do I Un-archive Sales/Purchase Ledger Transactions?

Summary
As part of the Month End procedure you might "Archive" or "Cleardown" the transaction history in the Sales Ledger and Purchase Ledger.
If you have cleardown data that you need to retrieve back into the customer(s)/Suppliers(s) account it is possible to retrieve it provided that the system parameters "Archive Transactions :" is set to 'Y'.
More Information
In order to reverse the cleardown of any transaction you will need to go to " Reports & Parameters Maintenance Options Transaction Archives". You will get a new screen with a Document Range for you to enter certain Criteria.
Reversing Transactions that have been Cleared Down
To make sure that you only un-archive the desired transactions you will need to enter criteria into the Document range screen as follows.
- Select the "Ledger type:" that you want to retrieve transaction for. Select either 'S'for Sale or 'P' for Purchase on the "Account:".
- Enter the account code to retrieve transactions for next to the 'S' or 'P'.
- On the "Group:" enter the 'Account Group' for which the data is to be retrieved if do a selection of accounts or leave this field blank if you do not what the retrieval to filter on the account groups.
- Enter the first 'date' for which documents are to be filtered by on the "From date:"
- Enter the last 'date' for which documents are to be filtered by on the "To:".
If you leave the date(s) at all zeros, if you do not want to limit the retrieval of documents by date. Doing this will retrieve all cleardown transactions for the specified Account(s), and should rarely ever been done. |
- Press <F2> or click on the [Retrieve] button to start to retrieve cleared down transactions.
A screen will appear asking you to Please wait... whilst it updates the files back into the relevant accounts. |
