How do I clear down stock history?

Summary
This article explains how to clear down the history on a stock code, e.g. an item that is regularly sold like an oil filter, or you wish to reduce the amount of entries on the stock history report for that item, or if it is an old part that you wish to remove completely (You cannot do this without first clearing down the history).
This article explains both how to consolidate or to reduce your history or delete it completely.
 | Once History has been removed it CANNOT be retrieved, USE WITH CAUTION. We would recommend keeping an absolute minimum of three years history in detail, and it might be wise if you have a full audit of your accounts to hold onto the data for seven years. |

- Here you will be presented with the following options:
- From\To Depot
- Stock Group
- From\To Stock
- Cleardown to
- Method
From\To Depot
This allows you to specify a particular stock depot for which to consolidate or remove the history. You can either leave this blank and the system will perform your chosen action on all stock in all depots or you can specify a range or a single stock depot code for the system to use.
Stock Group
This allows you to specify a particular stock group for which to consolidate or remove the history. You can either leave this blank and the system will perform your chosen action on all stock in all groups or you can specify a single stock group for the system to use.
From\To Stock
Again this allows you to specify a particular stock code for which to consolidate or remove the history. You can either leave this blank and the system will perform your chosen action on all stock codes or you can specify a range or single stock code for the system to use.
Cleardown to
This option allows you to enter an End Date up to which to consolidate or remove history records.
 | If you were to enter tomorrow's date the system would perform your chosen action on all history up to and including today. |
Method
This menu has 4 options:
- Remove - Any History will be completely gone from the system.
- Yearly, Monthly, Daily - history will be compressed to just a single entry per account per depot per Year, Month or Day.
Complete consolidation leaves the minimum level of history (Year consolidates stock history down to one record per year, Month consolidates stock history down to one record per month, Day consolidates stock history down to one record per day, while removal leaves none and history will by completely gone from the system).

To Finalise the Cleardown
Once all the fields above have been filled out as required click the [Start] button to proceed with the cleardown.
