Creating a new unit by copying an existing unit

Summary

The following article explains two methods for copying unit records.

Units: Unit is a general term used to cover all types of vehicle and machinery, including items such as motorcycles, scooters, cars, trucks, vans, caravans, motorhomes, boats, tractors, ATVs, agricultural equipment, wholegoods and construction equipment.

Method 1

  • If a unit, which you previously sold, is returned to you as a part exchange you can copy the existing record rather than type all the details again.

Existing Unit Returned

If you sell a unit and then take it back in part exchange, you will need to create a new stock number for the unit, but many of the details will be the same. The basic details from the original stock record can be copied onto the new record to save keying errors and time.

Go to " Unit Sales Add or Edit Units".

  • Press <F6> or click [Add] to create a new unit record.
  • Press <F2> to get the next stock number automatically.
  • Press <Ctrl+F10> to bring up the " Copy Unit" dialogue box.
  • Type in the stock number of the unit you wish to copy, or press <Ctrl+F1> to search for it.
  • At the "Please Confirm" dialogue box, press [Yes] to load the chosen unit.
  • You can now continue to create the unit as normal.

Method 2

  • You can create multiple unit records, e.g. to create records for new units due into stock. If you have ordered five or ten of a specific model of unit, you can create a record that you can then use as a template for the others.

Multiple Unit Records

You must create an initial unit record on which the subsequent records will be based. This will be the basic template for the new records.

Go to " Unit Sales Add or Edit Units".

  • Press <F6> or click [Add] to create a new unit record.
  • Create the unit record as usual following this article.
  • Save the record and return to the " Unit Sales Add or Edit Units" screen.
  • With the new unit record highlighted, press <Alt+F10> to 'Replicate Unit'.
The "Source unit" details will be displayed at the top of the screen.

Complete at least one of the four available fields in order to allow the system to create your unit records.

  • At "VIN" and/or "Chassis", enter the unique characters per unit.
  • At "Engine", enter the engine number per unit.
  • At "Colour", enter the colour.
  • Repeat for each new record you wish to create.
  • Click [Confirm] and [Yes] to confirm you wish to create the number of records shown.
