How do I add advisories to a unit?
Summary
This article explains how to add advisory notices to a vehicle in Unit Sales.
More Information
The aim of the advisory notices section of the software is allow you to log any future work that may be required on vehicles so that this information can be used to encourage vehicle owners to have this work done.
The advisory system is fully integrated into the software so that as much of the process as possible is automated. Information can be gathered and stored with the minimum of effort.
Advisory information should include any work that might be required to the vehicle prior to its next scheduled service.
It is envisaged that the following workflow is followed although it is possible to disable features and also to log information on an “ad hoc” basis. Elements of the advisory work system can be selectively enabled or disabled as required via the Workshop Parameters option.
Advisory items can be given appropriate priorities and an estimated date of action.
Should the customer choose not to arrange remedial work immediately, then an automatic reminder of the problem and need for action can be generated via the customer retention centre in a similar way to service or MOT work required.
Adding an Advisory
Go to " Systems Unit Sales Add and Edit Vehicles".
- Search for the vehicle by typing part of the description or vehicle stock number to find the vehicle to which you wish to add the advisory.
- Select the correct vehicle and click [Edit].
- Click on the [Servicing] Tab.
- Click the [Advisories] button to take you to the "Workshop Advisory Work" Screen.
- If there are no outstanding advisories you will be taken to the "Advisory Item Properties" screen to create a new vehicle advisory.
Adding Advisory Details
- Click [Add] to open the "Advisory Item Properties" screen.
- Enter the "Problem Code" relevant to the issue (e.g. 'LEA - Leak').
- Set a "Priority" for the issue. You can choose from 'Immediate', 'Urgent' or 'Advisory'.
- In the "Note" field, enter a brief description to explain the advisory.
- Next, add a Timescale. This can be entered as either a "Remaining" amount of miles until the issue causes a problem or an amount of "Time Remaining" in days or months.
This will set a 'Due Date' on the advisory and this will be when it appears in the Retention Centre.
- Click [Done] and [Accept] to save the advisory.
This will create an advisory that will be related to the customer and vehicle but for which there is no job booked.
