There are some obvious reasons as to why your stock levels might be wrong.

  • Items are being stolen.
  • Procedures are not being followed for booking stock in and out.
  • Mistakes are being made, for example, the wrong size of an item in clothing is sold on the computer.

These problems can be solved by tightening up the processes used in the parts department. Checking a small number of items every week (10-15 is enough to start) should be done by either the parts manager or other responsible person, and the results should be fed back to higher management. You should find out reasons for the differences, adjust the stock levels and take action if the situation demands it. Tight control of purchase orders and invoices should be a priority.

There are also some less obvious reasons for stock levels being wrong.

  • If you sell vehicles, the correct processes should be followed for items being sold with the vehicle. Remember that no stock movement takes place for items shown on a vehicle sales order or invoice - it is the responsibility of the parts department to issue these items to a workshop job for the preparation or PDI of a vehicle.
  • If you are running a multi-site, multi-depot operation, you must be careful to book items in and out of the correct depot. Your system will be configured to prevent this as far as possible, but if you work at more than one site, check carefully that the depot code is shown correctly.
  • If you have had a crash, it is possible that a stock movement may not have been filed properly. For this, you will need to contact your Hotline support.
