Summary

This article explains how to create MOT and Service jobs in the Workshop system.

More Information

When raising a workshop job for an MOT or a Service there are some things you can do to make the job "work for you". This article explains how, by adding some specific information into the correct fields you can make the system suggest your next MOT or Service dates automatically.

Creating a Job for an MOT

Go to " Workshop Workshop Diary".

  • To create a new job on today's date, click [Add] to create a new blank workshop job. For more detailed help on creating a workshop job, click here.
  • At the "Keeper" field, enter the name of your customer and press <Enter>. Click Here if you don't know the account codes.
  • On the "Vehicle" field, enter in the vehicle stock number, or if you are unsure of the Stock Number, press <Ctrl+F1> to search. For more detailed help on creating a vehicle, click here.
  • At the "Description" field, type 'MOT' in the first line. The system should cope with any variety of ways of entering 'MOT', so for example, 'M.O.T.' will work. When you invoice the job and the Vehicle Information box appears, this will suggest the "MOT Due" date to be twelve months on from the date of invoice.
  • At "Hours", enter an estimate of the time in hours it should take to complete this job, usually 0.5. to 0.75 of an hour for MOTs (30-45mins).
  • Press <F6> to add parts and labour and then click [Add]. For an MOT, this usually only requires a pre-defined amount of labour. For more detailed help on adding parts and labour, click here.
  • Once complete, the job can be invoiced in the usual way. For more detailed help on invoicing workshop jobs, click here.

Creating a Job for a Service

The process for Service jobs is very similar to the MOT idea above with the one change as below:

  • At the "Description" field, type the word 'SERVICE' in the first line. When you invoice the job and the Vehicle Information box appears, this will suggest the "Next Service" date based on the parameters set in the background of the system, as long as the "Auto Set Service Defaults" is set to 'Yes' in " Workshop Maintenance Options Parameters Vehicle service defaults".

Speeding up the Creation Process

You can make creating these jobs even quicker by saving them as a "Standard Job". These can be loaded at the press of a button to save you typing the same information over and over again. For more detailed help on how to save a job as a Standard Job, click HERE.
