Summary

This article explains how to find a transaction through the Accounts system e.g. an invoice posted on the wrong Supplier account or a payment missing from the takings report.

There are different places to look depending on the information you have. This article details the different options available to you.

Daybook Summary

This option can be used to list all transactions within a date range, provided the Daybook hasn't been printed and accepted for that period.

Go to " Sales Ledger/Purchase Ledger Sales/Purchase Reports Daybook Summary".

  • Enter a "From and To date".
  • Click [Start].
  • Click on any line and click [Details] to view the breakdown for that line.
  • To print the details on screen click the [Print] icon at the top of the screen.

Document Search

This option is particularly useful if you know the specific Invoice number or Ledger number although it can be used for a more general search such as for an amount.

Go to " Sales Ledger/Purchase Ledger Customer/Supplier History" and press <F7>.

  • Click [Advanced].
  • Select a "Type" of transaction from the drop down menu e.g. 'Payments'.
  • Enter a "From and To date" to speed up the search process.
  • To search for a specific Invoice or Credit note, enter a document number in the "Document" field.
If you are uncertain for example as to when or who, keep your ranges quite broad.
  • Click [Search].
  • Depending on your results you will be able to click on an item and press <Shift+F2> to view the details and <F6>/<Shift+F6> to view/print an Invoice or Credit Note.
If you don't have the Sales Ledger or Purchase Ledger, you will need to access this search through " Reports & Settings Document History View History".
  • The same options apply although you will need to specify 'S' to look at Sales Ledger Accounts or 'P' to look at Purchase Ledger Accounts.
