Summary
This article explains how to deal with unallocated jobs. Unallocated jobs are jobs which are not allocated to either a date or a specific technician.
More Information
Not all businesses require to be able to keep jobs unallocated. Unallocated jobs by their very nature are not listed in the workshop diary so are inherently easy to overlook. They do however offer significant advantages to some organisations.
They are useful for instance where a large number of manufacturer equipment upgrades or recalls need to be arranged but cannot immediately be allocated to a date or technician.
Setup
In order to take advantage of the unallocated job facility, you will need to enable the feature.
Go to " Reports & Settings Maintenance Options System Administrator Platinum Settings".
- Change "Automatically schedule jobs" to 'No'.
- Pressing <Esc> will save any changes.
If you want to access technician diaries when scheduling work, in " Reports & Settings Maintenance Options System Administrator Platinum Settings", select the Workshop module and search for 'Links'. Here change the setting for Personnel Planning to 'Yes'. |
New Jobs
When work is entered into the system, it will not be automatically scheduled unless the user deliberately allocates the job to a specific date and or technician.
- Create the job as usual following this article.
- Leave the "Start" date blank (press <Ctrl+F2> on the field if you fill it in by mistake).
- Enter the "Due" date for the work to be completed, if known.
- Enter the estimated number of "Hours" for the work.
- Click [Done] and [Accept] the job.
Schedule Unallocated Jobs
To view and schedule unallocated jobs go to " Workshop Workshop Diary".
- Click [Unallocated jobs] or press <Shift+F6>.
- You may now select the job to schedule and click [Amend job].
- Click [Schedule] and follow this article to allocate time and/or a technician
- Click [Done] and [Accept].
Alternatively
- To fully or partially allocate the "Expected Hours" click [Mark Job] or [Partially mark job] (if using this option enter the number of hours to schedule and click [Set time].
- Click [Diary].
- Find the technician to schedule and date and time to start the work. Click on the start time and click [Add].
- Check the [Schedule properties] are correct. Click [Done] and [Accept].
Geographic Area
The unallocated job screen can show the postcode of the keeper of the unit attached to the job. This may help you to plan work by area.
It may also be possible to configure this column to provide specific information such as to highlight jobs outside of a certain postcode area e.g. outside of 'LE' - Leicestershire.
