Summary
This article explains how to add used vehicle stock to the system and then either to upload it to the Findit website, link to the Dealer Edit system or have on the database ready to be sold out to a customer.
More Information
Go to " Unit Sales Add or Edit Vehicles".
- Press <F6> to create a vehicle record.
- Press <F2> to get the next available stock number.
- Set the "New?" flag to 'N'.
- If your system has been set up with HPI lookup, enter the vehicle Registration number and click [Look Up].
- The system will then contact HPI and fill in the vehicle information including Make, Model, Description, V.I.N., Chassis Number, Engine Number, Engine size. The HPI system will automatically create the vehicle models if they do not exist already in the system. Please note that this is not a full HPI check - it simply fills in the basic vehicle information for you as noted above. HPI make a small charge for this service.
- If the lookup finds a matching model already on your system, that model will be used, or you may be prompted to create a new model. You can elect to update an existing model with details from HPI, provided you are sure this existing model code represents the same manufacturer model.
- If you do not have the HPI link, you will need to add this information manually, see below.
- Type in the Model of the vehicle. If the model exists this will appear, filling in the Make, Model and Description. If however the model does not appear you will have to create the model.
Multiple Status - It is possible to create multiple status in Platinum for your vehicles. It is important that if you want a status to upload to FindIt you will need to press <Shift+F10> to edit the status, click on the [Parameters] tab, and set the "In Stock :" field to 'Yes'. |
You can tell the system what specific type of vehicle is normally stored at a Location. To change or update this, press <Shift+F10> on the "Location" field. Click on the [Parameters] tab, and enter the most common type of vehicle at this location in the "Vehicle type :". On an individual vehicle, you can change the "Vehicle Type :" if it is not the usual one for this site. |
Details
- Click the [Details] tab.
- At "Reg. Date", enter the date of first registration of the vehicle.
- Enter any other information that you might consider necessary, such as "Key number" and "Prev. Owners".
Purchase
- Click the [Purchase] Tab.
- Enter the supplier, date, purchase amount, and any other details in the relevant fields.
- You may need to create the supplier if you have not purchased a vehicle from them previously and this is not a part exchange vehicle.
- The purchase amount should be entered as follows:
- For used vehicles that are not V.A.T. qualifying, this should be the amount that you have given the seller for the vehicle.
- For vehicles that are V.A.T. qualifying but not commercial, you should still enter the amount that you have given the seller for the vehicle, and the system will deduct the V.A.T. from this figure for you.
- For vehicles that are commercial, you should enter the Nett figure for the vehicle, and the system will calculate and add the V.A.T. on top of this figure.
- Enter a finance balance if there is one.
- You can use the full HPI data check here if you have an HPI account and are linked up to it via Platinum. This will show if the vehicle has been written off or subject to any lien or finance of which the seller has not made you aware. HPI make a charge for this service.
